This guide explains the details of the planning of drivers’ hires. The procedure is similar for the assistants, except when carried out through using the Scheduler.

Go to the calendar icon in the main menu and click on the word Agenda or Drivers scheduler or open the booking that contains the hire on which you want to work.



To assign a driver hire, you have different possibilities depending on where you are:

In the Scheduler, drag the hire on the corresponding timeline to one of your drivers. When you select the hire that you want to drag, is plotted on the timeline with a green band, which allows you to see at a glance if there are intersections with other hire duties and which drivers are available.



In Agenda, click on the icon of the person in the Driver (or Assistant) column.



In bookings, click the icon of the person in the Coverage column, on the Hire duties.



Alternatively, select the word Assign driver (or Assign assistant) from the menu that you can open with a right click on the hire (or hold, from the tablet.)



The Driver availability window only shows the available drivers in alphabetical order and, for each of them:

The place where the previous hire duty finished and the time that elapses from the end of the previous hire to the start of the current one.
The place where the following hire duty starts and the time that elapses from the end of that hire duty to the next.
Use the text field at the top to search for a specific driver in the selected group or scroll the list and manually select the driver.

At the bottom is the list of hires for all of the involved bookings. Select one or more of them as you wish, and the system automatically calculates which drivers are available to cover which specific hire duties.



View the status of an assignment of a driver in the Agenda or in the Driver Scheduler.

If you see the lock icon next to a name, it means that the assignment must already be shared with this driver. In this case, your driver does not know of this assignment or all of the changes that you made to it.



If the icon is a blue dot, the hire duty has been shared but that driver hasn’t viewed it or the subsequent modifications.



If the icon is a check, the driver has viewed everything.



By assigning with the drag in the scheduler, if a hire duty belongs to a booking that has more than one, you can choose which of these hire duties to assign. By default, the hire duty (or duties) that you dragged is selected. You can, for example, assign more than one to the same drive in a single step.



To remove an assignment from a driver, right-click on the row or on the segment of the hire duty (or press, on the tablet) and select Remove driver.
If you have to change the vehicle assigned to a hire duty, it is not necessary that you remove it! Click directly on Assign driver or drag the segment to another driver, and the software makes the change to the new assignment automatically!


If you are removing a driver from a hire duty belonging to a booking that has more than one, you are offered a window that lets you choose from which hire duty to remove the driver (in this way, for example, you can easily remove him from all of the hire duties at the same time.) By default, the hire duty (or duties) with which you opened the menu are selected.
